Each flight includes a preflight meeting, the actual flight, a post flight debrief and a reunion. Each event requires a place to meet, setup, refreshments, and a variety of event specific help to check in vets and guardians, pass out items, etc. Meeting support can be a few hours helping out at a specific meeting to responsibility for a specific event.
A preflight meeting involves approx 30 people, each doing a specific task or set of tasks. Most are involved in working a “station” where specific activities occur, for example:

checking in vets and guardians and ensuring that their photo ID matches our records

checking that the various forms required are filled in correctly and signed

passing out packets of information

pass out flight shirts

verifying emergency contact information

medical screening

refreshments
-
flow managers who ensure that people know where to go and how to get there
